Which Logo Files Should You Send to a Printer?
November 6, 2026You can see invoice number INV-1048 in the top corner of a PDF. You paste it into Find and get zero results. Before retyping twelve pages of invoices, try searching for the supplier’s name. Then drag your cursor over one word. If neither works, the page may be a photograph of text.
Check whether you actually need OCR
Try the same test on a second page. One PDF can contain a searchable cover sheet followed by scanned receipts. If the supplier’s name turns up but the reference number does not, copy the number from the page into a plain-text editor. A space, an unexpected dash or a misread digit may explain the failed search.
For image-only pages, optical character recognition (OCR) reads the shapes of letters and adds a text layer. The visible scan can stay in place while Find looks through the recognised words. That is usually enough if your goal is to retrieve an invoice six months from now.
Make a searchable copy in Nitro PDF Pro for Windows
Keep the original scan and open a working copy. In the Review tab, choose OCR and select the searchable output. Use the page-range option if only part of the document needs processing. Run recognition, then save the result with a name such as supplier-invoices-searchable.pdf. Nitro also offers an editable output if you need to change the text itself.
Check the result with three searches
A name. Search for the supplier printed on a scanned page. Click the match and check that the highlight lands on the right word. A hit on the cover sheet alone tells you little about the receipts behind it.
A reference number. Search for the full invoice number. If it fails, try the last four digits, then copy the recognised line into a text editor. A zero read as the letter O is easy to miss on screen and enough to break an exact search.
An amount. Pick a total that includes a decimal separator. Compare the extracted value with the visible scan before pasting it into a spreadsheet. If a folded corner or a shadow hides a digit, rescan that page from the paper original if you have it.
For the exact controls, see Nitro’s illustrated OCR instructions. If you are choosing a desktop PDF editor for this workflow, you can also review the Nitro PDF Pro 14 product details.
